DEPARTMENT SUBMITS A-126
Department submits “Requisition to Fill a Non-Faculty Position” (Form A-126) to the Office of Medical Center Faculty & Administrative Affairs (MCFA), along with a completed Research Assistant Competency Checklist (RACC), applying competencies to the research requirements of the principal investigator.
MCFA REVIEW/APPROVAL
The A-126 is assigned a position control number, reviewed, and processed for Dean and Vice President signatures. MCFA returns signed/approved copy to department via interoffice mail with confirmation memorandum and instruction.
DATABANK/ADVERTISEMENT
Databank - Research assistant resumes of applicants interested in being placed in the applicant pool and qualified candidates responding to previous research assistant advertisments are placed in this online UC IP address only accessible website located at www.med.uc.edu/cvsonline.
Advertisement/NPA Form - Department telephones MCFA (Angie Smith 558-4905), to request advertising or indicates their advertisement request with A-126 submission. The information for the ad is compiled from the A-126 and accompanying materials. Ads appear in the Job Update, The Cincinnati Enquirer and The Cincinnati Herald. If the position is not a General Funds (A001) position, the department must provide an account number. Advertisement will be submitted via schedules and deadlines for submission as determined by Employment Services
Receipt of Resumes in Response to Advertisement - All responses to ads are to be received in MCFA. We will forward acknowledgement of receipt along with Equal Employment Opportunity data card to be returned by the applicant. Resumes are forwarded to the department. If applicant returns EEO data card, it is forwarded to the department for data collection purposes for completion of the A900 and accompanying applicant flow log. (Note: Resumes of all qualified candidates responding will be included in the online database, unless applicant specifically asks to be excluded.)
A900 TO MCFA FOR APPROVAL
An A-900 with accompanying applicant flow sheet, resumes of those interviewed/considered, copies of any advertisement, and letter directed to the attention Dr. Harrison, Vice President, addressing underutilization, if applicable, to be submitted to MCFA.
AFTER REVIEW AND SIGNATURE APPROVALS, MCFA
FORWARDS A900 MATERIALS TO UC EQUALOPPORTUNITY
OFFICE FOR APPROVAL
UC’s Equal Opportunity Office notifies the department contact listed on A900 of approval status of the A900. Upon receipt of original materials back from EEO office, MCFA forwards copies of all A900 materials to UC Human Resources.
UPON APPROVAL, DEPARTMENT FORWARDS INITIAL HIRE
PAF AND COPY OF LETTER OF APPOINTMENT/OFFER
TO MCFA
The letter of appointment should include the materials as outlined. The letter should include department head and supervisor signatures and the candidate’s signature in acceptance of the terms outlined. A copy of the letter, signed by all, should be returned with the PAF to MCFA to complete the appointment.
COUNTER OFFERS
Departments wishing to meet a counter-offer may do so with approval by department chair within the first quarter percentile of the salary range. Offers exceeding the first quartile must be substantiated by the department and submitted to MCFA for review and approval.
Department will receive a response from MCFA within 24 hours.
PROMOTIONS
Promotions must be handled by the approved administrative authority in the department. Criteria should be based on the competencies as outlined in the Research Assistant Career Level Guide and Checklist.
